Tool: Production Readiness Toolkit and TRIO Supply Chain Risk Tool

Problem (1):

COVID-19 Regulations were largely uncertain, absent and changed regularly under the COVID-19 lockdown. Firms faced high levels of operational incompatibility with health and other government guidelines.

Solution (1):

Identification and standardisation of work regulations and strategic operating procedures to ensure that firms are able to ensure health and safety best practice, while continuing to drive productivity and work effectively.

Problem (2):

COVID-19 resulted in unpredictable and unexpected supply chain problems, massive inbound and outbound congestions at key logistical nodes and a lack of supply chain reliability given that materials, parts and service supply levels were largely unknown.

Solution (2):

Development of a standardised tool that assesses the impact of reduced volume of supplier, combined with a risk analysis per logistics mode and route. Associated with the tool is management level guidelines and Working Group support to address the logistics and supply chain risks facing businesses.

Case Study:

Klenz Chemicals, a member of the Durban Chemicals Cluster (DCC) joined the DCC’s COVID-19 Business Recovery Programme as a weekly COVID-19 Working Group participant. The online sessions focused on addressing the largest risks facing businesses. Acknowledging that the Working Group sessions have added a lot of value through collaboration and information sharing, managers at Klenz Chemicals also noted that the greatest value has been derived from the basket of tools that the DCC has provided their company.

Health and safety was the first risk facing firms and immediately impacted their ability to operate. Zyven Rambakas, Operations and Supply Chain Manager at Klenz Chemicals, noted that “the return-to-work toolkit and guidelines, the production readiness toolkits and all associated checklists have been superb in getting operations ready under the stark reality of COVID-19. The production readiness toolkit specifically has helped employees at Klenz understand and unpack the risks associated in operating under such conditions”. Klenz Chemicals noted that one of their most significant challenges was getting their plant ready and the legislation and government guidelines were often unclear, but the regularly updated protocols and guidelines issued by the DCC unpacked these issues and made it far clearer.

Zyven Rambakas noted that the cluster’s tools “have allowed for a systematic approach to managing business risks and have enabled more efficient use of resources and time”. Most significant value has been derived from the Supply Chain Risk Tool (TRIO) which has significantly assisted the firm in getting greater insight and visibility into their supply chain. As their supply chain extends as far as India and Europe, the tool has opened up a new level of insight into risks and blockages. “Using the Supply Chain Risk Tool, I am in a far better position to manage my supply chain risks and potential supply shocks in a systematic fashion”.
